How do I submit my first case?

Step-by-step walkthrough for submitting your first delivery order in the Helia Connect mobile app.

Cases are submitted through the Helia Connect mobile app. Here's the basic flow:

1. Open the Helia Connect app during the procedure.

2. Tap New Case and enter the patient and procedure information.

3. Add the items used during the case by searching the catalog and selecting each one.

4. Review all case details, then tap Submit Case to send it to the facility for review.

Once submitted, you can track progress in the app under Cases. The status updates as the facility reviews it and processes the purchase order.

Submit as soon as possible after the procedure — the details are freshest right away, and faster submission means faster processing on the facility side.

Provider Search Tip: If a provider isn't populating, try searching by last name and the first letter of their first name. Keep in mind that a provider's location in Helia is based on where they completed their residency, not where they currently practice — so don't be thrown off if the location looks unfamiliar.

Offline Tip: Since the provider list pulls from the NPI database, an internet connection is required to search. To make sure your go-to providers are always available — even offline — favorite them in advance. Once favorited, they'll be accessible without a connection. That said, you only need your facility, facility department, and supplier to add items to a case — so if you're in the OR without signal, you can still build the case with what you have.
