Pricing in Helia is loaded by facility. The same item can legitimately show a different price at your location compared to another site in your health system — and this is usually intentional. Here's how it works.
Why pricing varies by facility
Most health systems negotiate contracts at the corporate or IDN level, with pricing that applies system-wide. But individual facilities sometimes have their own local agreements — through a GPO tier or a site-specific amendment — that result in different pricing at that location. Helia loads the pricing confirmed for each specific facility based on what was agreed upon by both your contracting team and the supplier.
What to do if pricing looks wrong
Before submitting a ticket, check with your health system's contracting team and confirm:
Is there a local or site-specific agreement for this supplier at this facility?
Has the most recent contract or amendment been provided to Helia?
Does the price in Helia match what is in the contract on file?
If your contracting team confirms the pricing is wrong and the correct documentation has already been submitted to Helia, submit a ticket by clicking the chat icon in the bottom right corner with the supplier name, item number, the price showing in Helia, and the correct price with a contract reference.
If a rep disputes the pricing
Reps sometimes believe an item should be priced differently based on what they have billed elsewhere. What is loaded in Helia reflects what was confirmed by both parties — that is the source of truth. If a rep disputes pricing, ask them to provide a contract number or amendment that supports their claim, then submit a ticket with that documentation for our team to review.
