What happens when our facility changes pricing tiers or levels?

What a facility tier change means for pricing in Helia, how the update gets processed, and what to expect during the transition.

If your facility moves to a different pricing tier — through a contract renewal, a new GPO agreement, or a health system renegotiation — the pricing in Helia needs to be updated to reflect that change. Here's how it works and what to expect.

What a pricing tier is

Many supplier contracts include tiered pricing, where the price your facility pays depends on your purchase volume, GPO membership, or the agreement your health system has negotiated. A tier change means your facility now qualifies for a different price level than what is currently loaded in Helia.

How the pricing update gets made in Helia

Tier changes do not happen automatically. Our team needs updated contract documentation from both your health system's contracting team and the supplier. Both must submit — neither side alone is sufficient.

  • Your health system's contracting team provides the updated agreement or amendment reflecting the new tier.

  • The supplier's corporate team confirms the same terms.

  • Our team reviews both, resolves any discrepancies, and loads the updated pricing.

What to expect while the update is in progress

Until the updated tier pricing is loaded, cases will continue to price at the previous tier.

  • Do not approve cases at the old tier price if you know the new pricing should already apply — hold them or reject with a note that a tier update is in progress.

  • Confirm with your contracting team that updated documentation has been submitted to Helia. If it has not, that is the step that needs to happen first.

  • If documentation has already been submitted and pricing has not been updated, submit a ticket by clicking the chat icon in the bottom right corner with the supplier name, the effective date of the new tier, and any contract reference.

What about cases processed before the tier change was loaded

Cases approved before the updated tier pricing was loaded in Helia will reflect the old pricing. Submit a ticket by clicking the chat icon in the bottom right corner with the supplier name, item affected and the effective date of the new tier (if known).

Tip: After the updated pricing is loaded, any rep resubmitting a previously rejected case will need to delete and re-add the affected items before submitting. You may want to give them a heads-up.
