If your facility is required to input notes into your ERP system when creating requisitions, this article is for you. Not every facility has this requirement — and for those with full ERP integration, this step may be handled automatically. But if your workflow includes manually entering requisition notes, the Helia DO# is a critical piece of information to include.
Why the DO# must be in your ERP
When your team creates a requisition in your ERP for a Helia-approved case, the DO# must be included in the notes field. This is how your facility ties the Helia order to the purchase order and eventually to the supplier invoice. Without it, the match cannot be made automatically, and reconciliation requires someone to manually connect the records.
Who is responsible for entering the DO#
Entering the DO# in your ERP is the responsibility of your facility's review and reconcile team — the team members who process requisitions after a delivery order has been approved in Helia. The rep cannot access your ERP and cannot enter this on your team's behalf.
The correct workflow: case approved in Helia → your team creates the requisition in your ERP → DO# is included in the notes field → PO is generated.
What happens when the DO# is missing
Missing DO#s make period-close reconciliation significantly harder. The mismatch between Helia and your ERP can cause orders to sit unresolved or generate errors. The longer it goes uncorrected, the more manual work it creates.
